Coordinator Mobile App

Write it while you remember it

  • Their own login
  • Today, on the phone
  • Notes at the point of contact
  • Notes written at the visit

Support coordination happens in kitchens, hospital corridors and car parks. A note written there is accurate; a note reconstructed that evening is approximately accurate, and one written on Friday about Tuesday is a guess.

Coordinator mobile app — how it works

Coordinators get their own app with their own login, showing their caseload with the same triage signals the office view uses — budget position, last contact, key dates and alerts. Notes are written in the field with contact type, duration, travel time and kilometres, and priced the same way as a note written at a desk.

The app is a coordination tool rather than a cut-down version of the carer app: it is built around a caseload and a note, not around a shift. Records sync to the same engagement the office works from, so there is no second entry step.

Why it matters for NDIS providers

The gap between when work happens and when it is recorded is where both accuracy and revenue leak. Closing it improves the participant record and the claim at the same time, which is unusual.

  • Written where it happened: a note taken at the visit is the accurate one.
  • Priced in the field: the claimable line exists as the note is saved, not at month end.
  • Same caseload signals: the triage view coordinators rely on, on the phone.

What's included

  • Own login. Coordinator accounts separate from carer and admin access.
  • Caseload on the phone. Budget position, last contact, key dates and alerts per participant.
  • Field note entry. Contact type, duration, travel time and kilometres captured at the visit.
  • Automatic pricing. Notes priced against the funded coordination level as they are written.
  • Sync to the same records. Nothing is re-entered at the office.

Who it's for

Support coordinators who spend most of their week away from a desk, and practices whose billable hours depend on notes being written promptly. Specialist coordinators doing crisis and hospital work get the most from it, because that is where a same-day note matters most.

Getting started

Coordinator Mobile App is included in your Rostery plan and works the moment your data is in — there is no separate module to buy or set up. Book a demo and we will show it on your own workflows, and use Rostery's “Smart Switch” data migration to bring your existing clients, staff, shifts and notes across from your current software in minutes.

Why teams love Coordinator Mobile App

Their own login

Separate coordinator accounts, not a shared admin seat.

Today, on the phone

Visits, tasks and participants for the day.

Notes at the point of contact

Written when it is fresh, which is when it is accurate.

Notes written at the visit

Accuracy and revenue both improve when the record is contemporaneous.

Built for coordination, not shifts

A caseload tool rather than a worker app with the labels changed.

Coordinator Mobile App — questions

No. Coordinators have a separate app and separate accounts, built around a caseload and case notes rather than around shifts and clock-in. A worker app opened by a coordinator would show the wrong things entirely.
