A coordinator with forty participants cannot review forty records each morning. What they need is the short list: who is at risk of running out of funding, whose report is overdue, who has not been contacted in a month, and who has an open complaint.
Support coordination caseload — how it works
The caseload view computes those signals rather than displaying a directory. Each participant shows their budget position as a percentage with what remains, the date of their last note, their next key date, and a count of the things needing attention — overdue tasks, open complaints, changes of circumstance not yet acted on.
An oversight panel at the top aggregates it: budgets at risk, tasks overdue, reports due, consents expiring. The list can be filtered to active, waitlisted, closed or transferred, so a coordinator sees the caseload they are actually carrying.
Why it matters for NDIS providers
The failures in coordination are failures of attention, not effort. Nobody decides to miss a progress report; it is missed because it was not visible on the day it mattered. A view that surfaces what is going wrong turns that from a memory problem into a work list.
- Computed, not sorted: the list is ordered by what needs attention, not by name.
- Budget position at a glance: percentage used and amount remaining on every row.
- Staleness is a signal: time since the last note is shown, because silence is the leading indicator.
What's included
- Oversight panel. Budgets at risk, overdue tasks, reports due and expiring consents, aggregated.
- Per-participant signals. Budget position, last note, next key date and alert count on each row.
- Status filtering. Active, waitlist, closed, transferred and deceased handled distinctly.
- Alert counts. Overdue tasks, open complaints and unactioned changes surfaced per participant.
- Drill through. One click from the signal to the engagement that raised it.
Who it's for
Coordinators carrying more participants than they can hold in mind, and the team leaders supervising them — because the same view answers what a supervisor needs to know about a coordinator’s caseload without asking for a report.
Getting started
Triage-Ready Caseload is included in your Rostery plan and works the moment your data is in — there is no separate module to buy or set up. Book a demo and we will show it on your own workflows, and use Rostery's “Smart Switch” data migration to bring your existing clients, staff, shifts and notes across from your current software in minutes.
