The Data Exchange is a reporting obligation that, in most organisations, becomes a parallel spreadsheet maintained alongside the real records. That spreadsheet is always slightly wrong, and reconciling it is nobody’s favourite quarter.

DEX reporting — how it works

DEX extracts are produced from the client and service records already captured — the clients in the period, the sessions delivered, and the case and outcome data held against them. The reported figures come from the operational records rather than from a second set kept for the purpose.

Extracts are generated for a reference period and can be regenerated, so a correction to an underlying record flows through rather than requiring the spreadsheet to be edited to match.

Why it matters for NDIS providers

Reporting that is maintained separately from operations diverges from operations. Producing the extract from the same records that ran the service means the numbers reported and the numbers delivered agree by construction, not by reconciliation.

  • Built from operational records: no parallel dataset to keep in step.
  • Regenerable: a correction upstream produces a corrected extract rather than a manual edit.
  • Reference periods: extracts produced for the period being reported, not for whatever the sheet contained.
