Provider Portal

Fewer calls asking where the money is

  • Invoice status without asking
  • Remittance history
  • Invited, revocable access
  • Payment status calls stop

Providers ring plan managers for one reason: they want to know when they will be paid. Every one of those calls costs your team time and tells the provider nothing they could not have seen themselves.

Provider portal — how it works

Providers get their own scoped access showing the invoices they have submitted, the stage each is at — received, approved, claimed, paid — and the payments they have received with the invoices each covers. They can submit invoices directly rather than emailing them.

Access reaches that provider’s own records and nothing else, enforced by the same tenancy isolation used everywhere in the platform. A provider cannot see another provider’s invoices or any participant’s wider record.

Why it matters for NDIS providers

Payment status enquiries are high-volume, low-value work. Answering them with a page rather than a phone call improves the provider relationship and removes a recurring interruption from your week.

  • The status question, self-served: where an invoice is, without ringing anyone.
  • Submission without email: invoices lodged directly rather than sent as attachments.
  • Scoped to their own records: a provider sees their invoices and nothing else.

What's included

  • Invoice visibility. Every invoice submitted with its current stage.
  • Payment history. Payments received and the invoices each covers.
  • Direct submission. Invoices lodged through the portal rather than by email.
  • Scoped access. Enforced isolation to that provider’s records alone.
  • Contact details maintained. Providers keep their own details current.

Who it's for

Plan managers with a regular set of providers submitting invoices, and providers who currently have no visibility of where their invoice sits. It is most valuable where the same providers invoice frequently, because that is where the call volume concentrates.

Getting started

Provider Portal is included in your Rostery plan and works the moment your data is in — there is no separate module to buy or set up. Book a demo and we will show it on your own workflows, and use Rostery's “Smart Switch” data migration to bring your existing clients, staff, shifts and notes across from your current software in minutes.

Why teams love Provider Portal

Invoice status without asking

Providers see exactly where each invoice sits in the approval, claim and payment cycle.

Remittance history

Every payment and its reference, retrievable by the provider themselves.

Invited, revocable access

You control who has a login and can withdraw it at any time.

Payment status calls stop

The most common provider enquiry has a page.

Cleaner invoice data

Structured submission beats reading a PDF.

Provider Portal — questions

No. A provider sees the invoices they submitted and the payments they received. They do not see participant budgets, plans, notes or any other provider’s records. Access is scoped and enforced at the database level, not by what the interface chooses to display.
