A participant’s question is always the same: how much have I got left, and am I going to run out? A statement answers it in a form they can keep, and generating it should not be a monthly manual exercise.
Monthly statements — how it works
Statements are generated for a period from the invoices and claims already recorded — opening balance, what was claimed, what remains, broken down by support category. Because they are built from the same records that produced the claims, the statement and the claim cannot disagree.
Delivery is by email or print, with the send recorded against the participant. Generation can run automatically on a monthly cycle, and participants who prefer not to receive them can opt out without being removed from the run.
Why it matters for NDIS providers
Statements are both a service expectation and a workload risk. Done by hand they consume days each month; done from stale data they generate calls. Generated from live records, they answer the question before it is asked.
- One source of truth: the statement is produced from the claims, so the figures reconcile by construction.
- Automatic on a cycle: monthly generation runs without anyone starting it.
- Delivery is recorded: who was sent what, when, and whether it bounced.
What's included
- Period statements. Opening, claimed, remaining and closing figures for the period.
- Support category breakdown. Spending shown against the categories the participant’s plan actually uses.
- Branded PDF. Your logo, colours and letterhead on the document the participant receives.
- Email or print delivery. Sent electronically or produced for posting, with the outcome recorded.
- Opt-out handling. Participants who do not want statements are respected without leaving the cycle.
Who it's for
Plan managers who want the monthly statement run to be a background job rather than a week, and participants or nominees who want a document they can read, keep and question. Statements are also what most service agreements promise, so producing them reliably is a contractual matter as well as a courtesy.
Getting started
Monthly Statements is included in your Rostery plan and works the moment your data is in — there is no separate module to buy or set up. Book a demo and we will show it on your own workflows, and use Rostery's “Smart Switch” data migration to bring your existing clients, staff, shifts and notes across from your current software in minutes.
