The NDIA pays a total. Your invoices are individual lines. Reconciliation is the work of proving those two things agree, and it is where plan managers discover that a claim from six weeks ago was short by four hundred dollars.
Payment reconciliation — how it works
Upload the NDIA remittance or payment results and Rostery matches it against the claim it belongs to, line by line. Exact matches are cleared automatically. Anything that does not match — a line paid at a different amount, a line not paid at all, a payment with no corresponding claim — is raised as an exception with its type.
Exceptions are worked from a list rather than found by inspection. Each one carries the claim, the invoice and the difference, so the question is what to do about it rather than what happened.
Why it matters for NDIS providers
Unreconciled claims are unrecognised losses. A line quietly rejected weeks ago is money you have already paid a provider and will not get back unless someone notices in time to re-claim it. Reconciliation is how that gets noticed.
- Matched line by line: not claim total against payment total, which hides every individual shortfall.
- Exceptions surfaced by type: not paid, paid short, or unmatched — so the response is obvious.
- Resolution is recorded: each exception is closed with what was done about it.
What's included
- Remittance import. The NDIA payment file read and matched against the originating claim.
- Automatic matching. Exact matches cleared without intervention.
- Exception queue. Everything that did not match, categorised and worked from a list.
- Per-invoice payment status. Paid, part-paid and unpaid visible on the invoice itself.
- Audit trail. How each exception was resolved, by whom, and when.
Who it's for
Plan managers of any size — the smaller the team, the more valuable it is, because reconciliation is the task most often deferred when everyone is busy and the one whose deferral costs the most. Finance staff and practice managers use it to close a period with confidence rather than hope.
Getting started
Payment Reconciliation is included in your Rostery plan and works the moment your data is in — there is no separate module to buy or set up. Book a demo and we will show it on your own workflows, and use Rostery's “Smart Switch” data migration to bring your existing clients, staff, shifts and notes across from your current software in minutes.
