Paying providers one invoice at a time makes reconciliation harder for them and slower for you. Rostery pays each provider once per run, in a bank file, with a remittance that explains which invoices the amount covers.

Provider payments — how it works

Approved invoices are grouped by provider into a payment batch. Rostery totals what each provider is owed, produces an ABA direct-entry file for your bank, and records the batch with a hash so the file that was uploaded can be proven to be the file that was generated.

Remittance advice goes to each provider listing the invoices included. The batch has its own approval step separate from invoice approval, so the person who enters invoices is not the person who releases money — and that separation can be enforced rather than agreed.

Why it matters for NDIS providers

Providers chase payments they cannot match to invoices, and every one of those calls costs your team time. Paying once per provider with a clear remittance removes most of that traffic, and batching payments means the bank sees one upload instead of two hundred transactions.

  • One payment per provider: not one per invoice, so both sides reconcile faster.
  • Segregation of duties: batch approval is a separate permission from invoice entry and can be enforced.
  • Provable files: each generated ABA file is hashed, so what was uploaded can be shown to be what was produced.
