Participant Portal

Answers without the phone call

  • Live budget
  • Approve from the portal
  • Invited and revocable
  • Routine calls answered by the data

Most calls a plan manager takes are one of three questions: how much is left, has that invoice been paid, and can you send me my statement. A portal answers all three without a phone call, and without giving the participant access to anything else.

Participant portal — how it works

Participants sign in to see their own plan: budget by support category, what has been spent, what is committed but not yet claimed, and what remains. Invoices awaiting their approval are there to action, and their statements are available to download.

Access is scoped to that participant and nothing else. Nominees and family members can be given access where the participant wants it, and every view is subject to the same tenancy isolation as the rest of the platform — a portal user can only ever reach their own records.

Why it matters for NDIS providers

Call volume is the hidden cost of plan management, and most of it is questions with a factual answer. Answering them with live data is faster for the participant and cheaper for you, and it turns budget from something they are told into something they can see.

  • The three common questions, self-served: balance, invoice status and statements, without a call.
  • Approvals in the same place: invoices waiting on them can be actioned where they are already looking.
  • Scoped to them alone: portal access reaches one participant’s records and nothing else.

What's included

  • Budget by category. Spent, committed and remaining across the participant’s support categories.
  • Invoice visibility. What has been received, approved, claimed and paid on their behalf.
  • In-portal approvals. Invoices awaiting their decision, actioned directly.
  • Statement download. Past statements available without asking for a copy.
  • Nominee access. Family members or nominees given access where the participant wants it.

Who it's for

Participants and nominees who want to see their own funding, and plan managers who want fewer routine calls. It suits self-directing participants particularly well, and gives family members managing supports on someone’s behalf a legitimate way to see what is happening without ringing the office.

Getting started

Participant Portal is included in your Rostery plan and works the moment your data is in — there is no separate module to buy or set up. Book a demo and we will show it on your own workflows, and use Rostery's “Smart Switch” data migration to bring your existing clients, staff, shifts and notes across from your current software in minutes.

Why teams love Participant Portal

Live budget

Funds remaining and what has been claimed, without asking.

Approve from the portal

Invoices waiting on them, approved in one tap.

Invited and revocable

You control access, and pending invitations are never counted as access.

Routine calls answered by the data

The three most common questions have a page rather than a phone call.

Nominees included properly

Family members get scoped access instead of sharing a password.

Participant Portal — questions

No. Portal accounts are scoped to a single participant and enforced at the database level by the same tenancy isolation that separates organisations. A portal user cannot reach another participant’s records by any route, including by changing an identifier in a URL.
